If you know your recipient’s email system removes HTML and other formatting from email messages, then you should send the email using plain text format. By designing the email in plain text, you will know what users should see when they receive the email. If you choose HTML, the email client may not display the information as clearly as you intended it to.
To send a plain text-formatted e-mail, complete the following steps:
Check out and open the process you want to edit.
In the
Toolbox
pane, click
Internet
. A list of activities is displayed.
Double-click or drag the
Send E-mail
activity into the process.
Link the activity appropriately with other activities.
Right-click the
Send E-mail
activity. A shortcut menu is displayed.
Select
View Properties
. The
Send E-mail
window is displayed.
Click the
E-mail Header
tab. The corresponding screen is displayed.
In the
Sender
field, select an appropriate input field editor and set the field to a value that is the sender’s e-mail address.
Note:
If you want to choose the sender’s e-mail address from your Microsoft Exchange Server, select the
Exchange E-mail Address editor
and click the corresponding icon. A list of all your Exchange Contacts is displayed. Select the relevant e-mail address.
You can include any e-mail address as the sender’s e-mail address. Limitations on the sender’s e-mail address will be determined by the SMTP server.
In the
Recipients
field, select an appropriate input field editor and set the field value to the recipient’s e-mail address.
Note:
You can add more recipient’s by clicking the plus sign (+). Use the minus sign (-) to remove recipients.
To set a priority for your e-mail, from the
Priority
field click the
Priority Editor
icon and select
High Importance
,
Low Importance
, or
Normal Importance
.
You can pass multiple recipients in one field or data item by separating the email addresses with a comma or semi-colon.
Click the
Message Content
tab. The corresponding screen is displayed.
In the
Subject
field, select the appropriate input field editor and set the field to a value that is the subject of your e-mail.
In the
Message type
field, click the drop-down arrow and select
Text
.
In the
Message body
field, type the content of your e-mail.
Note:
You can include data item values in the content by clicking the
Show Data Items
button, and double-clicking the appropriate data items from the
Select Items
window.
Click
OK
. You configured the activity to send a plain text-formatted e-mail.
